Author: Chris Edmondson-Yurkanan Last modified: 6/23/2004 Who needs to read this? The following conference planning roles are involved in orchestrating the Best Student Paper Award: * PC co-chairs (and the Program committee) * ACM Program Director that handles the SIGCOMM conference * Local Arrangements Chair * Conference Webmaster * Conference treasurer * SIGCOMM Information Services Director OUTLINE: 0) Early notification 1) Plaque 2) Honorarium 3) Travel Expenses 4) Complimentary Conference Registration 5) SIGCOMM web page updated 6) Conference web page updated 7) SIGCOMM Official description of this award 8) Overview letter sent to winner 9) Detailed letter sent to winner (no example) ------------------------------------------------------------------------- 0) PC chairs should be sure to notify the student as early as possible that she/he is the award winner. 1) the student is given a plaque at the opening session, by the PC co-chairs. The PC Co-Chairs should drive this, and oversee the wording. Do this 2-3 months ahead of time.... no later than 1 month. Our ACM Program Director can take care of getting the plaque made, and having it mailed to the conference... 2004: currently it is Julia Codrington's role. (ideally the plaque should have the ACM and SIGCOMM logos at the top on the left and the right) a1) here's an example of the typical wording/layout for the winner of the student paper award: > > > > > 2004 ACM SIGCOMM Student Paper Award > > presented to > > RECIPIENTS NAME > Affiliation > > For the paper titled: > > ???????????????????????????????????? > a2) (initiated in 2004, but will be re-examined in 2005) here's an example of the typical wording/layout for the other student authors of the best student paper award: 2004 ACM SIGCOMM Student Paper Award For the paper titled: Link-level Measurements from an 802.11b Mesh Network by authors Daniel Aguayo, MIT John Bicket, MIT Sanjit Biswas, MIT Glenn Judd, CMU Robert Morris, MIT b) "the look" www.cs.utexas.edu/users/chris/sigcomm/conf/planning/program.chair/plaque.jpg Julia Codrington chose this for last year: it's got a marbled dark blue background, and the print was gold. 2) The student is typically given an honorarium: right now we're at $500 (I don't have a history of the amount... but I'm pretty sure that it's been $500 ever since 1987...with 2 co-authors, we do $300 each.) The PC Chairs should ask the ACM Program Director to take care of getting the check cut, and having it mailed to the conference.... Follow the same timing as in item (1). ACM will need the name, address and social security of each person before the checks can be processed. 2004 process: - split the award among the authors i.e., 1/2 for each paper, evenly split among the student authors unless there is some indication that there is a better split (i.e., a clear 'primary' 3) The student (or each paper) is given a travel grant, which may not cover all the expenses, but we try to. So, the amount of $1k could be a maximum not to be exceeded. (Sometime we might prefer to give a fixed amt and not worry about reimbursement.) If possible, add the student to the list of a regular complimentary hotel room. The PC chairs should tell the award winner how to get travel expenses reimbursed. If we choose to reimburse expenses up to a limit, then look for draft form document: 3.4.3 Grant Letter B found on: http://www.acm.org/sig_volunteer_info/conference_manual/ fyi: See this ACM page on policies for reimbursing travel expenses http://www.acm.org/sig_volunteer_info/travguid.html and focus on ITEM #5. If we don't do the fixed amount strategy, then the conference will only reimburse the following items (possibly up to some limit such as): *economy (at least 3weeks in advance) air travel *3-4 nights hotel expenses at the conference hotel (may be ?complimentary? if hotel gets enough registrations) *3-4 days per diem *reasonable ground transportation (shuttles/taxi) and the student will need to follow the guidelines for turning in the expense report to ACM SIGCOMM's Conference Program Director (currently Erin Dolan). 4) The student (max of 2) is given complimentary registration for the technical program only. The PC chairs should ask the student to register online using the complimentary registration form. 5) The student paper award info and link needs to be added to our archive on the SIG's web page by the SIGCOMM info services director. 6) The conference webmaster should highlight which paper is the student paper winner. 7) Official SIGCOMM description of the Award, written by Lyman Chapin in the early 90's.
