2002 version: ACM can handle the reimbursement out of this office. All student travel grant reimbursements will follow ACM Volunteer travel guidelines. http://www.acm.org/sig_volunteer_info/travel.html . Students will be required to complete an expense report w/in ten days of travel and should return to my attention at ACM HQ address below. If students require an advance to cover any out of pocket expenses incurred prior to the conference (i.e. airfare) they may apply for a travel advance by completing the VTA (Volunteer Travel Authorization Form) forward back to HQ at travel@acm.org and indicate an advance is required. All checks take approximately 3 weeks to process and mail including expense reimbursement checks. Once the recipients have been decided, please forward a list w/ all the recipients names, postal mailing addresses, phone #s, e-mail addresses, whether or not they are a SIGCOMM member, and the amount of the individual's grant. (An excel spread sheet is preferred). Each recipient should also receive a message from the Student Travel Grant Chair detailing the amount of the grant being awarded, what it is intended to cover (travel, lodging subsistence, registration, etc), ACM Guidelines for travel, and how to claim their reimbursement. Please check w/ Craig and Chris as to whether students will receive complimentary registration to the conference or if they will be expected to have it paid for by their advisors or out of the grant. If they receive complimentary registration, then ACM registration Services will enter the names once you submit the list of recipients. This info should be included in their notification letter so that students are clear as to whether they have to register or not. I'm attaching an excel expense report template that is pre-coded for the travel grants. Students are not required to use this template, but they must submit a report in some format clearly indicating the summary of expenses, their purpose for travel (SIGCOMM 2002 Student Travel Grant), their name, mailing address, phone # and e-mail.
